Start with the specification, not the price
The most common procurement problem is not a high price but a vague specification. When the specification is general, the offers that arrive are not comparable: devices at very different performance levels are presented as interchangeable.
Ask each supplier to respond line by line against your specification and to state explicitly where an item does not comply. A supplier who flags a deviation is easier to work with than one who quietly ignores it.
Questions that reveal supplier readiness
- Who performs the installation: a local team, or one that travels in when needed?
- What is the lead time for the most frequently replaced parts on this device?
- Are the required consumables available locally, or tied to a single source?
- What does training actually include: how many sessions, for whom, and can it be repeated for new staff?
- What documentation is handed over with the device?
Total cost, not purchase cost
The cheapest device can become the most expensive after three years if its consumables are costly or its service requires a team from outside the country. Compare total cost across the expected service life.

Site readiness before delivery
Much delay has nothing to do with the device: insufficient space, unprepared power, inadequate cooling, or a narrow delivery route. Ask for a written site requirements list before shipping, not after.
